For more analysis, open the specific bill. Users can see all the details given on the page.

Users can download each bill in PDF format as required and share it with the supplier for payable record purposes. All the financial summaries of the bill will be displayed in the bill details.

How To Pay a Bill

To update a bill to paid status:

  1. Locate and open the relevant bill.
  1. Click on the Action button.
  1. Select an Add Payment. A pop-up window will appear, allowing you to record payment against the bill.
  • If the bill is fully paid, enter the complete payment amount.
  • If partially paid, enter the paid amount and fill in the remaining required details.
  • Fill out the remaining details, such as bank transaction ID, sending account, supplier’s receiving account, payment option, and description

Click Submit to save the payment.

After submission, the system will automatically update the supplier’s running balance in their account.

Users can perform more functionality here, such as unallocated payments, debit notes, write-offs, and discounts.

If You Want to Edit or Update a Bill

Once full payment is made, the bill status automatically changes to Paid. A paid bill cannot be edited, and no additional payments can be applied.

If any changes or additional adjustments are required, you must first reverse or delete the payment entry to reopen the bill for editing.

Attach Supporting Documents

Users can attach any relevant supporting documents to the bill, such as supplier invoices, delivery notes, or payment proofs for record-keeping.

Outstanding Payments

Inside the bill, you can view a complete financial summary of the supplier’s account. It shows:

  • Due date
  • Total bill amount
  • Total paid amount
  • Remaining payable balance
  • Last payment recorded date

This provides a clear overview of payment status and helps track what has been paid and what is still outstanding.

Users can perform additional functions as required.

You can also download the supplier’s running balance statement from the Download Statement option in formats such as CSV or PDF, as needed.

More detailed features related to bills are available in the “Bill” subhead located in the Purchase Module.
