  • If You Don’t Find Your Supplier’s Company Name in Bill / PO (2)(2)(2) 

First check the nature of the supplier to see whether he is your actual supplier or a walk-in supplier. 

Basically, there are two options given: Add new or Add contact.

Add new is used to add your actual supplier, while add contact belongs to walk-in suppliers. We call them walk-in suppliers because we just book purchase inquiries.

They don’t know about our product and service, but there is a probability that we can convert them into our actual supplier.

If you know that your supplier is a walk-in supplier, we just book a purchase order against them. For that purpose, the user will use the “add contact” option located on the top of the supplier field. To add new walk-in supplier’s information. (The user can also get access to add a walk-in supplier through the purchase section. Both sections are used for the same purpose. 

While creating a purchase order, if you find that your supplier is a walk-in supplier and you have a purchase order query against them, then go to the option written in blue font, i.e., Add Contact.

  • If you know the supplier is a Walkin supplier in the PO section. 

Add Walk-In Contact 

When you click on the Add Contact option, you will go to a new window, which is about to add walk-in information. It means you have to add walk-in customer information first here. 

Click on the “add new/contact” option. 

Basic information 

  • First you see a basic information block. 
  • Enter your company name in the given tab, e.g., Demo supplier 2. 
  • Enter the contact of the supplier’s company. e.g., +971 4 000 00001 
  • Enter the email address of the company. e.g., @gmail.com
  • Enter the website of the company, e.g., www.demo.com. 
  • Click and select nature of business, e.g., general trading. 
  • Enter company type, e.g., LLC. 

Contact person details 

“Contact person details” refers to that individual in the company who has responsibility for coordination and communications to provide you the required information. 

  • Enter the first name of that person, e.g., Demo supplier. 
  • Enter Last Name, e.g., trading LLC. 
  • Enter the designation of that person. e.g., account Manager 
  • Enter the email address of that individual, e.g., A@gmail.com. 
  • Enter the contact number of that person: +971000000001.
  • “Enter Other Contact Number” means that in any case, if the required person is not reachable, then you can contact another person for the required information. 
  • After entering all information, click on the Save button to save the information.

Once you save the information, go back to purchase order and then enter again your company information in all required tabs. Now you can see your company name is available in all drop-down sections. Follow the steps given in “how to create a bill.” *

  • If You Want to Add Your Supplier Name Bills 

Click on the “Add New” option. 

  • When you click on the “add new” option, it will take you to the same screen where you can create a new supplier.

  • After creating the supplier, you can proceed to book the bill. All recorded bills will be listed under the respective supplier’s account for easy tracking and reference. 

How to Add a New Project Name to Create Bills/PO (2). 

Click on choosing the project option

Click and select the option if the required project is given in the drop-down section.

If your project is not given in the below section, just write your project name in the given space. You can see the Add New option is given in the drop-down section, written in blue font.

Add new project:

Once you click on add new project, you can see a new window come on your screen. Through this page, it allows users to add new projects into the system by entering important project details. 

How to Add New Project 

  • Enter the project name, e.g., goods import. 
  • Click and select a project status like it is planning, initiated, executing, or completed. 
  • Select the start date when the project begins, e.g., 11/01/2025. 
  • Enter the expected end date of projected completion, e.g., 12/05/2025. 
  • Enter the actual end date (if the project is completed). Leave blank if still in progress. e.g., 12/30/2025 
  • Click and select the currency in which the project finances will be paid. e.g., AED, USD, etc. 
  • Enter the total expected cost for completing this project. e.g., AED 500000 
  • Enter the VAT of the company registration number, e.g., 0100000. 
  • Enter a brief description of the project. Like its objective, scope, or notes, etc. 
  • Attached is the relevant project document—drag and drop the drop-down file into the upload box or click “browse file” to select from your device. 

Default Address 

  • Enter the building/house number or name, e.g., XYZ trading THE METROPOLIS TOWER. 
  • Enter the correct postal/zip code in it, e.g., 122345. 
  • Enter the Address Line 1 & 2, e.g., add floor name, street name, block, building name, area, etc., e.g., floor number 0, XX building, West Dubai. 
  • Enter the city name, e.g., Dubai. 
  • Select or type the state or province. e.g., Dubai 
  • Choose the country from the dropdown list. e.g., UAE 
  • After completing all required fields, click on the save button located at the bottom to add details of the project to the system. 
  • Once you save the project details to the system, go back to the previous page and then fill in all the details. 
  • At this time, the user will see their project in the Add project option. Now add all remaining details in the system and create the form. 

How to add new items or new service bill/PO (4) 

If you don’t find your product name or service name in the “Item section” in the “Add Product block.”

Then write your product/service name in the given space, and then it shows you the option to add a new item. Add the new service in blue font. Click on as per your requirement. 

  • Add New Product 

This page gives users access to add products into the inventory system by filling out the necessary information related to product specifications and sales. 

Basic information 

  • The first block is based on basic information
  • Enter the product name or title of the product. e.g., iPhone 17, etc. 
  • Enter the group category, like electronics, mobile phones, or groceries.

Ensure that the brand/group has already been created in the ‘brand section.’ Only after creating a brand/group can you select a group category and proceed to create the product. 

Returnable (checkbox) 

Tick the checkbox if the product is returnable.

Excise Product (Check box) 

Tick the checkbox if the product is for exercise duty. 

Description 

  • Enter detailed information or specifications related to the product. 
  • Enter the picture of the product. 

Product specification

  • Enter the product size. Like its length, width, height 
  • Select the unit of measurement, e.g., cm or inches.

Measurements:
Enter the volume or quantity per unit and select the measurement unit (e.g., ml, L, kg). 

Barcode:
Enter the barcode of the product if available. 

Sales Information 

  • Enter the price of the product. 
  • Select the currency in which the sales price is defined (e.g., AED). 
  • Select the applicable VAT tax rate from the dropdown menu. 
  • Discount Rate—Enter any applicable discount percentage (e.g., 10.0 for 10%). 
  • Save—once all the information is successfully entered, then click on the save button and save it. 

Once you click on the save button, it will show you in the stock list.

Refresh the page. 

Now go and book and enter the batch information against this product.

Now go back to the quotes, proforma, and invoice page, and then enter your item name. This time you get your item name in the given list. 

  • Add New Service 

This page gives the user access to add a new service into the system by filling out the necessary information related to the service. 

Basic information 

  • The first block is based on basic information
  • Enter the service name or title provided. e.g., accounting service 
  • Choose the department where the service belongs. E.g., legal service. 

Description 

  • Enter detailed information or specifications related to service. 

Sales Information 

  • Enter the selling price of the service. 
  • Select the currency in which the sales price is defined (e.g., AED). 
  • Discount Rate—Enter any applicable discount percentage (e.g., 10.0 for 10%). 
  • Select the applicable tax rate from the dropdown menu. 
  • Save—once all the information is successfully entered, then click on the save button and save it. 

Now go back to the invoice and then enter your service name; this time you get your service name in the given item list. 

Now this is a way to add new bills/new POs to the supplier account. Once you enter all information in the Actions buttons, you can see all information is available on the supplier’s display. 

You can add new bills and new purchase orders directly through the front window of the supplier. Both options are located on the right side of the supplier name list.
