Users can download each invoice or quotation/proforma invoice in PDF format as required and share it with the customer for receivable purposes.

How To Pay Invoice

  • To update an invoice to paid status.
  • Locate and open the relevant invoice.
  • Click on the Action button.
  • Select an Add Payment. A pop-up window will open and allow you to make payment against the invoice.
  • If the invoice is fully paid, enter the full payment amount.
  • If partially paid, enter the received amount and complete the remaining required details.
  • Click Submit to record the payment.
  • After submission, the system will automatically update and display the customer’s running balance in their account.

If You Want to Edit or update the invoice,

  • After full payment is received, the invoice status will automatically change to Paid. Once an invoice is marked as paid, it cannot be edited, and no additional payments can be applied to it. If any modification or additional payment is required, you must first reverse or delete the payment entry to reopen the invoice for editing.

Attached Document

  • The user can attach any invoice or supporting documents.

Outstanding Payments

  • In the invoice, you will be able to see the complete financial summary of the customer’s account. It displays the due date, total amount, total paid amount, balancing amount, and the last recording date. This gives a clear overview of the payment status and helps you easily track what has been paid and what is still due.

Users can perform more functionality as per their needs.

Users can also download the customer’s running balance statement from the Download Statement option in available formats such as CSV or PDF, as per requirement.

  • More functionality of “invoices” is given in “invoice subhead,” which is located in the sales module.
