4. How to Add Progressive Invoice
A progressive invoice (also called a progress billing invoice) is an invoice issued in stages based on the percentage of work completed, rather than billing the full amount at once.
It is commonly used in long-term projects such as construction, consulting, or large service contracts where the total project cost is divided into multiple payments.
For example, if a project is worth 100,000:
- 30% is invoiced after the first phase is completed.
- 40% after the second phase
- 30% upon final completion
This method helps:
- Maintain steady cash flow.
- Reduce financial risk
- Track project progress financially.
In simple terms, a progressive invoice allows you to bill the customer step-by-step as the work progresses.
How to add Progressive Invoice
There are steps given to create a progressive invoice. Follow the instruction.
To create progressive invoice,
- First go to the invoice submodule located in the sales module. Click on it.
- Once you click on it, a new window comes in front of you.
- There is an “Add Invoice” button given on the top right side of the page.
- Along with the button, there is a “drop-down icon” given.
- Click on it. It shows you options to create invoice such as
- Add real estate invoice.
- Add gold invoice.
- Add progressive invoice.
- Click on “Add Progressive Invoices,” and it will allow you to create a progressive invoice.
Navigation path: Sales< Invoice< “add invoice” button< drop-down icon< add progressive Invoice.
Click On “progressive Invoice”

It shows you a new page. Now you have to enter all details here.
- Enter the reference number to track the invoice, or the system will automatically generate it as per the default setting.
- Enter the company name of the customer’s company, e.g., XYYZ Trading LLC.
If you don’t find the customer’s company name, then go to the section How to add the customer’s company name while creating an invoice or quotation/proforma. Follow the instructions, refresh the page of the invoice, and then create the invoice.
- Click on “project” and choose an existing project given in the drop-down option. E.g., Project
To create a new project, follow the instruction given in section How To Add A Project Details.
- Use Project Details – Check this box to auto-fill details from the selected project.
- Enter the invoice date, that date on which the invoice is issued. E.g., 02/18/2026.
- “Enter the due date” means the last date by which the customer must make the payment, e.g., 03/20/2026.
- Enter the discount rate. If a discount is provided, then enter the percentage %; otherwise, put 0 if no discount is provided. For example, we considered a 10% discount applied to the overall invoice amount.
- Enter the Number of Credit Days, meaning the number of days a customer is allowed to pay the invoice, for example. The customer has to pay the amount in 30 days as per dates selected.
- Select the currency in which the invoice was issued. e.g., AED.
- Click and choose the company’s bank name and account name.

How To Add a Product
- Click and select the item from the dropdown list. E.g., select the product or service name from the dropdown list. If you want to add any non-product or non-service item, then select ‘Others’ from the dropdown options.
If you don’t find your item, then go to the section “How to add new items/services in the item field,” follow all instructions, and go again to the create invoice page and select your item name, and this time it will show you your item name in the list.
- Enter the account name and choose the related accounting category.
The accounts field depends upon the item field if you are going to add a product/service by its name in the item field. It will automatically show you two options in the account head, i.e., product revenue or service revenue. Just select it, and it will automatically add that item to their respective account.
OR
The second is if you select “others” in the item section and you don’t find your account head in the account field, to select the account code, go to charts of accounts, and click on the profit and loss subhead. A new page will open and allow the user to create a new account head or add a new account head under the default category.
- Enter a description, like any brief detail of the product.
- Enter unit price, the price per unit of the product/service.
- Enter Quantity, the quantity of items. For service, we used 1 as a quantity.
- Net price would be automatically calculated.
- Click and select applicable VAT rate. e.g., 5% standard.
- Automatically the system would calculate the VAT amount.
- “Enter gross amount” means the total amount including VAT.
- Inclusive checkbox: here it works like this: in unit price, VAT amount is already added. Here the system only deducts and calculates the original price of the product and calculated VAT amount from the unit price. When you click on the inclusive button, it means the VAT amount is deducted from the total amount. And when you click Off, the button means the VAT amount is included.
- Users can add more service rows by using (+) the button and use it (-) to remove the row.
- The user can also change the sequence of items by holding and dragging the item rows.

- On the right side of the financial summary, the total amount is calculated and shows you every detail, including the net amount, discounted amount (if applied), before or after VAT amount, and total payable amount.
- Users can enter a brief summary in the designated text area to include comments, special instructions, or specific terms and conditions related to the quotation. This section allows you to clearly communicate any additional details to the customer.
- Users can also configure default terms and conditions through document settings. Once set, these terms will automatically appear on every invoice, eliminating the need to enter them manually each time.

- Also, below there is a signatory option given to add signatures; click and enter the title, name, and designation of authorized persons or departments who are responsible for approving or signing the invoice.
- If you don’t want to include this information in the invoice, leave this section empty because this is not mandatory.
- settings.if you want to add authorized person signature on every invoice, it can be set through default document settings.
After filling in all the information, click on the submit button to save the information in the system.

After submitting the invoice
When you submit the progressive invoice, it will display on the front table of invoices, indicated with the icon , and also in the customer account as well.
This icon will indicate to you that it’s a progressive invoice along with unpaid status.
